Who May Attend

Young men and women ages 14–18 any religious affiliation who agree to uphold the standards of The Church of Jesus Christ of Latter-day Saints may participate (see CES Honor Code Statement and Dress and Appearance Expectations). Young men and young women with significant physical or mental challenges or constraining behavioral conditions who require extra care must consult with a program administrator before registering.

Age Groups

There are two EFY age groups: 14–15 and 16–18. Participants will automatically be assigned to the proper age group based on their age on the first day of the session. Overnight participants must be in the same age group to request each other as roommates.

NOTE: If you will be turning 16 on or between May 1, 2008, and December 31, 2008, you will be given the option of attending either the 14–15 age group or the 16–18 age group.

All participants must be at least 14 years old by September 30, 2008, and must not turn 19 before the first day of the session, July 7. If you do not meet the age requirements, you will not be allowed to register.

At this time you will be given your program schedule and other pertinent information. Lunch is not served on Monday, so please eat before you arrive or be prepared to purchase lunch at the BYU–H cafeteria or the Seasider. If you are arriving after 3:00 p.m., please check in at the Gazebo Lounge Hale 2.

Note: Adherence to dress and grooming standards will be enforced; participants will not be able to check-in at the program if they are not appropriately dressed and groomed.

Check-Out

Especially for Youth officially ends on Friday evening at approximately 10:00. Checkout for campus participants is between 7:00 and 8:00 a.m. on Saturday at the EFY tent area.

Damages/Lost Keys

Damages

Participants will be liable and billed for any damages caused to any property at their session.

Lost Keys

Participants will be issued keys to their housing unit and are held responsible for returning that key to their counselor at checkout. Participants are liable for lost keys and will be billed for replacement costs. We do not offer a waiting period for keys to be returned. All universities charge CES Youth Programs re–key and repair costs immediately following a session. We promptly pay these fees and then bill you. Re–keying costs vary from $10 to $150 per lock, depending on the location.

Housing

Stay-at-home participants will return home each night after EFY activities have concluded. Except for Monday, each day will begin at 8:45 a.m. and conclude at approximately 10:00 p.m. Those participants coming from off island or those who live further away from campus may stay in the residence halls overnight for an additional cost. This cost will cover housing accommodations as well as breakfast in the cafeteria from Tuesday through Saturday. During the EFY program, campus housing accommodations are available to registered participants only.

Rooms in each residence hall (hale) are double occupancy. Each room is furnished with two single beds, two desks, two closets, and two sets of drawers. The following linens are provided for each participant: fitted sheet, flat sheet, pillow and pillowcase, light blanket, and one bath towel and washcloth. Individuals in adjoining rooms share central bathroom facilities. There are no electrical fans or air conditioning in the residence halls, but BYU-Hawaii is located on the windward side of Oahu, where gentle trade winds provide a cool ocean breeze most of the year. Participants may wish to bring a small electric fan to aid with ventilation on breezeless nights.

Meals

All participants will receive lunch and dinner during the session (except Monday-only dinner is provided). Stay-at-home participants should eat a substantial breakfast each morning before coming to campus. Breakfast will be provided Tuesday–Saturday for participants staying on campus.

Registration and Payment Information

The preferred registration method is available online at http://ce.byu.edu/yp/efy-programs/efy/session-information.cfm. Applicants may register for the campus housing option (based on availability) or the stay-at-home option. Full payment is required at the time of registration. Payment can be made with any of these cards:

American Express, Visa, Discover, MasterCard
accepted credit cards

ATM cards will not be accepted. They are not compatible with online payments. The total payment will be charged to your credit card at the time you register. Please make sure you have the required amount available on your card before attempting to register. If your credit card is not approved immediately online, your registration is not complete.

Applicants choosing the stay-at-home option who must pay by check or money order/cashier’s check may complete and submit the EFY Special Enrollment Form. Please follow instructions outlined on the form - return the form as an e-mail attachment and include a copy in the mail with your payment. If you have questions, please contact an EFY representative at (801) 422-8925.

Registration Deadline
Registrations will be accepted over the internet until 9:00 a.m. Mountain Time on Monday, June 30, 2008, one week before the session begins, or until the session is full. NO GROUP REGISTRATIONS are accepted. All participants must register and pay separately.

To ensure the security of your credit card information and your privacy, BYU Continuing Education uses CyberSource to process your credit card transactions. CyberSource has been certified to be compliant with the Visa Cardholder Information Security Program, the bank card industry’s most stringent security standard.

NOTE: If your computer is left idle for more than 30 minutes, you will lose your spot in the registration process and have to start over. If you leave the CyberSource payment page idle for more than 30 minutes, do not enter your payment information–a payment will be accepted through CyberSource, but your registration will have been lost and you’ll need to start over. A refund will be given if a payment is made, but registration will be incomplete.

Confirmation Numbers

Upon successful EFY registration/enrollment, you will receive an on-screen confirmation page. Please print this for your records. You will NOT receive a receipt or confirmation in the mail. If you need another copy of your confirmation, you may view and print it by logging onto your account, clicking My Registrations, clicking on the program you want to reprint your confirmation for, clicking on Edit and then clicking on Registration Confirmation. You may also call (801) 422-3817 x 1 or e-mail efy@byu.edu to request another copy of your registration confirmation.

Counselor Groups

We cannot honor requests for participants to be in the same counselor group at EFY programs. Counselor groups consist of 8–18 youth of the same gender and same age group. They have a counselor of the same gender as well. Two to four counselor groups make up a company.

Requesting A Companion

Each applicant may request a companion to be grouped in their same counselor group. “Requesting a companion” is for two enrolled participants who must be of the same gender and age group. To request a companion, enter his or her full name (first, middle, and last) and birth date. The information you enter must exactly match the information your companion entered when he or she registered for EFY. Though we will do all we can to honor these requests, requesting a companion alone does not guarantee that the two of you will be grouped together in the same counselor group.

Roommate Request

Registered campus housing participants may request a roommate of their choice. Roommates must be of the same gender and age group. When registering, you must enter in your roommate’s name exactly as they entered it on their registration. Please be sure to spell their name correctly. Remember, requesting a roommate is just that—it is NOT guaranteed. If for any reason a participant does not get paired with their requested roommate, we will not be able to make roommate changes on the day the session begins.

Transportation

Transportation is not provided for this program. Stay-at-home participants are responsible for providing their own transportation to and from sessions every day. Parents and youth are encouraged to organize car pools to shuttle participants to and from BYU-Hawaii. We do not provide this service. We are not responsible for a participant until he/she has checked in to the EFY program. It is your responsibility as a parent to see that your child arrives safely. We also do not provide transportation to and from the airport. Participants and parents are responsible for making those arrangements.

Shuttle services are available from Island Transporter (808-293-5788; e-mail: islandtransporter@gmail.com). For more information please visit www.isletransporter.com. A special rate for one-way or round-trip service is available to EFY participants. (EFY is not affiliated with this shuttle service.)

CES Honor Code Statement

We believe in being honest, true, chaste, benevolent, virtuous, and in doing good to all men. . . . If there is anything virtuous, lovely, or of good report or praiseworthy, we seek after these things. (13th Article of Faith)

As a matter of personal commitment, participants are expected to demonstrate in daily living those moral virtues encompassed in the gospel of Jesus Christ, and will:

  • Be honest
  • Live a chaste and virtuous life
  • Obey the law and all campus policies
  • Use clean language
  • Respect others
  • Keep the word of wisdom
  • Observe dress and appearance standards
  • Encourage others in their commitment to comply

Dress and Appearance Standards

"The way you dress is a reflection of what you are on the inside. Your dress and grooming send messages about you to others and influence the way you and others act" (For the Strength of Youth, pp. 16)

Please visit and carefully read the full Dress and Appearance page at http://ce.byu.edu/yp/efy-programs/efy/dress-and-appearance/dress-appear.cfm. Adherence to dress and grooming standards will be enforced; participants will not be able to check in at the program if they are not appropriately dressed and groomed.

What Not To Bring

We discourage the use of cell phones during any EFY activity. If you feel you cannot regulate its use, please leave it at home. We also discourage participants from bringing stereos, boom boxes, Playstations, TV’s, Gameboys, and any other extra items. We cannot guarantee the security of these items, and the participants do not have free time in which to use them. Bikes, in-line skates, skateboards, and other athletic equipment are not allowed.

Medical Release Form

To enroll in an EFY program, a participant must have a parent or guardian complete the medical release form completely and accurately at the time of registration. The parent/guardian is required to include his or her full name and any emergency phone numbers, including cell phones, home phones, and any other phone number where you may be reached anytime of the day or night. Also be required are the participant’s physician´s name and phone numbers and personal insurance information. If the participant does not have medical insurance coverage, please write “none” in the spaces provided. The parent/guardian must indicate any allergies to medications his or her child has and any medications the child may currently be taking. By completing this form, the parent/guardian gives CES Youth Programs, or its representatives, authorization to quickly treat the participant in the case of an emergency.

Accident Insurance and Medical Claims

CES Youth Programs Accident Insurance Coverage and claim filing process: We carry limited accident insurance for injuries to a participant that occur at EFY. This coverage is a secondary plan. In the event you do not have insurance, the coverage becomes primary. In any event, you will be responsible to file a claim with the insurance company and track the progress of any reimbursement due you. If your child is injured at an EFY program, our staff will provide any emergency assistance needed and then pass on the parent or guardian contact information to any medical personnel involved.

This insurance does not cover treatment given for any illness. If you have any concerns, please contact our office at (801) 422-3817 x 0.

Privacy Policy

CES Youth Programs is committed to protecting the privacy of the personal information submitted by youth and parents. You will be asked to submit, as part of the registration process, certain personal identification information such as credit card data. CES will only use this information for the internal purposes for which it was provided. CES does not share this personal information with others.

Walk-Ons

If a participant does not show up for a session they were registered for, then another individual of the same gender and age group may be allowed to attend that session for the cost of EFY plus an additional $25.00. If you are able to walk-on, you will be required to provide credit card information for payment, or cash or a check will be accepted.

Trying to walk-on to an EFY session holds great risk. We do NOT guarantee any spots for participants who try to walk-on to an EFY session.

NOTE: Please DO NOT send your child to an EFY session to walk-on if they cannot easily get back home – there is a great chance they WILL NOT get into the session.

Withdrawals and Refunds

You may receive a refund minus a $25 withdraw fee when you withdraw from the EFY session by 8:59 a.m. on the Monday one week before your session is scheduled to start. From 9:00 a.m. on Monday, the week before your session starts, registration will be closed for that session and you will not be able to withdraw or receive a refund after this time. The reason for our refund policy is as such:

  • We have already contributed financially to institutions where EFY sessions are held and do not receive refunds from them when one or more of our participants does not show up last minute.
  • Accommodations such as housing, meal plans, counselor group assignments, company assignments, etc are made the week before the session begins and it would be unmanageable to have changes in registration during that week.
  • If one participant cannot attend EFY who was registered, we cannot replace them with another participant, but we still have to pay for the new empty spot at EFY.

To withdraw from an EFY session using the internet:

Log onto your Division of Continuing Education account using your unique log in and password. Select “Edit Registration/Withdraw” on the program you want to transfer from, and then click the WITHDRAW button at the bottom of the page. You will be asked to confirm your withdrawal and then receive a confirmation that you withdrew from that program.

If you have any questions, please call our registration room at 801-422-8925 for assistance. We can walk you through the process or answer any questions you have.

To have a CES Youth Programs office employee withdraw your registration:

Only the parent/guardian or participant may request to be withdrawn by an employee in our office. You need to submit in writing (e-mail, letter, fax) that you need to be withdrawn from a program. You need to include ALL of the following information in your written request:

  1. Requestor’s name and relationship to the participant
  2. Desired program to be withdrawn from
  3. Confirmation number of registration
  4. Participant Full Name
  5. Participant Log In ID
  6. Participant Date of Birth
  7. Statement explaining that you want to be withdrawn

You are responsible to make sure your enrollment is withdrawn. If a written request is made, but does NOT include ALL of the above information, we will not withdraw the participant from the desired program and you are responsible for not meeting the withdrawal deadline.

DISCLAIMER: We reserve the right to make changes to any policy or procedure at any time and without notice. Additionally, we reserve the right to refuse service or entrance to any person for any reason.
